9K a year 3 hours ago 3 hours ago 3 hours ago THE POSITION The Executive Assistant/Office Manager (EA/OM) provides support to the Executive Director & Director of Finance and Administration (DF&A) in different capacities.
The EA/OM is responsible for internal and external communications from the Executive Director's office to the staff, Board of Directors, and the public.
The EA/OM manages the Executive Director's calendar and designated administrative duties with discretion & precision and coordinates all Board of Directors' meetings.
The EA/OM also works with the Customer Relationship Management (CRM) software entering data and updating the calendar for events.
The EA/OM performs administrative duties as assigned.
The EA/OM reports directly to the Executive Director.
RESPONSIBILITIES Office Management Provide support to the Executive Director including managing phone and written communications, organizing, and maintaining files of official corporate and internal records, coordinating Executive Director's calendar, scheduling meetings on Executive Director's behalf, updating and maintaining Executive Director's contacts, and scheduling & organizing for events.
Greet and assist all patrons in our busy office, always maintaining a high level of customer service.
Open and organize mail, forward materials to appropriate departments, and provide essential administrative support for the Executive Director as required.
Office supplies management.
Maintain office appearance which includes interface with vendors and building maintenance personnel.
Update Executive Director on status of projects and other relevant issues.
Board of Trustees Serve as direct liaison to the Board and specific Board Committees; answer Board member questions, facilitate communications, and serve a vital role in stewarding and engaging the Board.
Prepare minutes for Board meetings and sub-committee meetings.
Prepare packets and coordinate any technical requirements (A/V, zoom) for Board meetings.
Update documents pertaining to Board operations.
Campaign/Program Support Enter data & run ad hoc reports in CRM and update community calendar for events.
Correspondence - as applicable for staff function/support.
Coordinate flyers and invitations with appropriate staff.
Create tribute and memorial cards; manage and maintain listings to upload to website and permanent records.
Mail invitations and follow up on RSVP's and couvert receipts for events.
Manage seating arrangements, name tags, caterer arrangements and other tasks as assigned for large events.
Send out reminders to committee members.
Provide vouchers and letters for donors requesting disbursements from donor endowment funds.
Prepare letters for endowment statements to donors semi-annually.
Send out applications for Israel Teen Grants, March of the Living, Kushner High School, and summer camps; respond to community members' related questions.
Keep track of recipients of various grants.
Provide support and assistance to other departments, as necessary.
REQUIREMENTS Computer skills are critical.
Candidate must have advanced knowledge of Microsoft Outlook and proficiency in Word and Excel.
Top-notch people skills, with demonstrated experience in effectively communicating with the public and/or experience with Board leaders.
Must be detail-oriented, proactive, with excellent follow-up and organizational skills.
Excellent writing and proofreading/editing skills.
High level of customer service.
The ability to take direction and then work independently with discretion is essential.
QUALIFICATIONS The qualified candidate will bring a mix of positive energy, adaptability, decisiveness, creativity, and critical thinking skills, as well as a roll up the sleeves attitude towards their work.

Must be patient, personable, a team player and an excellent communicator.
Must possess a 'can-do' attitude towards their work and show a high level of customer service.
Self-motivated with the ability to work both alone and in groups in a fast-paced environment; extremely organized.
Should be enthusiastic about the Jewish Federation mission.
Nonprofit experience is helpful.

The check can be for multiple reasons such as signing bonus, supplies, etc. The victim will be instructed to deposit the check and use the money for any of these reasons and then instructed to send the remaining funds to the fraudster. The check will bounce and the victim is left responsible.
